Description

Greenbush - The Southeast Kansas Education Service Center is seeking a Hospitality and Programs Coordinator. Housed in our Lawrence, KS office, the Hospitality and Programs Coordinator will be responsible for event coordination and setup, registration, and catering. Candidates should have strong people skills and enjoy interacting with many people on a daily basis.

Job Summary:  Perform clerical duties on assigned projects for Greenbush Learning Services and Greenbush Administrative Services, fulfill organizational duties in a timely manner, provide hospitality coordination and support, assist with workshop registration processes as needed, prepare department materials, schedule presenters, and assist department administrators.

  

Qualifications: 

  Required: 

  1. High school diploma or certificate of equivalency
  2. Valid driver’s license
  3. Experience in the hospitality field

Preferred:

  1. Bachelor’s degree in related field

Responsibilities: 

Essential Functions:

  1. Assist department administrators to coordinate professional development services for school districts.
  2. Coordinate and provide hospitality support including check-in of participants, coordination with catering partners, ordering of supplies, and setup and cleanup of meeting spaces.
  3. Communicate meeting schedules and needs with Service Center Staff, School District office staff, and custodial/maintenance staff.
  4. Develop marketing and communication materials, incorporating other programs and directors as needed.
  5. Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  6. Arrange conferences, meetings, and travel arrangements for administrative staff.
  7. Greet visitors and callers, handle their inquiries, and direct them to appropriate persons according to their needs.
  8. Coordinate departmental meetings and conferences.
  9. Review work by others to check for correct spelling and grammar and make recommendations.
  10. Update and maintain identified databases and district / school contact information.
  11. Initiate contact with districts regarding services by phone, email, and/or district visits.

  4. Must demonstrate proficiency in ability to produce excellent work as requested by the executive team.
  5. Must assume responsibility for individual professional growth by staying current with literature, research, and/or practices.
  6. Must demonstrate proficiency in ability to effectively and regularly communicate with Service Center employees and constituents.
  7. Must complete all assignments in a time-sensitive manner as determined by Supervisor.
  8. Must meet all safety requirements as directed by the Service Center.
  9. Must perform other duties as may be assigned by the Executive Director or designee.

Physical Requirements:

  1. Manages all job duties with mobility, agility, and dexterity.
  2. Requires long periods of sitting.
  3. Ability to lift a maximum of 40 pounds.
  4. Work in a noisy environment with many interruptions.

In addition to the benefit package, Greenbush recognizes the importance of continued education throughout an employee’s career and offers the Greenbush Education Reimbursement Plan to support employees in their education endeavors. The plan provides an opportunity for any Greenbush employee working at least 1,004 hours per year to be reimbursed up to $1200 per contract year for tuition costs. Employees of Greenbush meeting the hour requirement can apply to participate in the program by completing the Tuition Reimbursement Application Form.
