Administrative Assistant for Learning Services - Lawrence

 

Job Summary: Assists with the day-to-day educational operations in the virtual learning center and BaSES program under the supervision of the Program Director(s)/designee. The Administrative Assistant aids in providing customer service and other clerical duties as requested by the Site Coordinator/designee.

 

Qualifications:

Required:

 

  1. Minimum of a high school diploma or certificate of equivalency.
  2. Must be able to work with Microsoft Office applications and have good computer skills.
  3. Knowledge of administrative and clerical duties and procedures.
  4. Proven experience in providing highly effective customer service.

Preferred:

 

  1. Prior experience in education and clerical work helpful, but not required.

Responsibilities:

Essential Functions:

 

  1.    Student enrollment for alternative learning services, including but not limited to blended learning, Greenbush Online, drivers education, and other related programs
  2.    Assigning appropriately licensed teachers to students/classes
  3.    Create billing authorizations for the business office and verify payment of students at the time of enrollment.
  4.    Provide customer service and serve as the main liaison between students, teachers, school contacts and business partners (technical issues and support)
  5.    Communication and elevating unresolved issues to the program director(s)
  6.    Discerning incoming customer requests and referring customers to appropriate programs/departments as needed
  7.    Maintain electronic and paper organization of records (enrollment, course completion, grades, communications, billing, payment, etc.)
  8.    Assist with large workshops and hospitality as needed (parking, registrations, catering, etc.)
  9.    Manage new contracts and annual contract renewals including mailings, signatures, billing and final copies; create, update and send out BaSES correspondence; manage BaSES trainings including registration, venue, catering, materials and presenters; manage BaSES purchasing and billing.
  10.    Create, update and report on BaSES budgets, caseloads, contacts and other data as needed.
  11.    Marketing and Graphic Design support - create, edit and publish print and electronic material including the Greenbush Day School Website.
  12.    Other duties as assigned.

  3.  Must maintain strict confidentiality.
  4.  Must demonstrate proficiency in ability to produce excellent work as requested by the executive team.
  5.  Must assume responsibility for individual professional growth by staying current with literature, research and/or practices.
  6.  Must demonstrate proficiency in ability to effectively and regularly communicate with Service Center employees and constituents.
  7.  Must complete all assignments in a time-sensitive manner as determined by Supervisor.
  8.  Must meet all safety requirements as directed by the Service Center.
  9.  Must perform other duties as may be assigned by the Executive Director or designee.

Physical Requirements:

 

  1. Manages all job duties with mobility, agility, and dexterity.
  2. Requires long periods of sitting and standing.
  3. Ability to lift a maximum of 40 pounds.
  4. Work in a noisy environment with many interruptions.

The plan provides an opportunity for any Greenbush employee working at least 1,004 hours per year to be reimbursed up to $1200 per contract year for tuition costs.
